So let’s talk about the EU AI Act.
By now, most well-informed managers and leaders have heard whispers about the EU AI Act, but for some, it can feel like a distant, nebulous concept.
The EU AI Act isn't just another regulation we can brush off. Because ignoring it could lead to serious headaches, including hefty fines and missed opportunities.
So let’s break it down into very simple terms.
The EU AI Act acts like a set of traffic rules for navigating the AI landscape, classifying AI systems into four distinct risk categories, which I’ll talk about in a minute or so.
These categories ensure that AI technologies are deployed responsibly, with stricter regulations applied where the risks to safety and fundamental rights are highest, while lighter requirements govern low-risk applications.
Now, let’s take a moment to put this into practice. Here’s an action you can take today. Make a list of all the AI systems your organisation uses or is planning to use. This list will be your starting point.
Risk Categories under the AI Act
Now let’s consider the Risk Categories under the AI Act. These aren't always straightforward to navigate. But here’s why this matters:
Misclassifying your AI systems could lead to non-compliance, which is not a place you want to find yourself.
Let's break down these categories:
- Unacceptable risk: are absolute no-gos, like AI manipulating human behaviour without people knowing.
- High-risk: This is AI that could significantly impact people's lives, like recruitment or credit scoring systems.
- Limited-risk: Is AI that interacts with humans, like chatbots.
- And Minimal-risk: which is everyday AI applications that pose little to no risk.
Let’s pause and apply this to your situation. Here’s a straightforward step you can take right now. Go through your list of AI systems and try to categorise each one based on these risk levels.
Key Responsibilities for Businesses by Risk Level
Next up are Key Responsibilities for Businesses by Risk Level. Each risk category comes with its own set of responsibilities. And failing to meet these responsibilities could lead to legal issues and reputational damage. Systems that fall into the Unacceptable Risk category should be removed from use.
For high-risk AI systems, you'll need to register them in an EU database, implement risk management processes, ensure good data governance, and maintain detailed documentation. And for limited, minimal and no-risk AI systems, focus on transparency and ethics.
Now, it’s time to turn this idea into action. And here’s what you can do today. For each AI system on your list, start brainstorming what responsibilities you might need to fulfil.

Next are Detailed Business Obligations. Depending on how busy you’ve been – or are planning on being with AI - these business obligations can feel like a never-ending task list.
But overlooking even one obligation could lead to non-compliance. So responsible managers and leaders should give these business obligations the attention they deserve. Focus on data governance, quality assurance, and technical documentation. Ensure your data is accurate, relevant, and bias-free.
Your documentation should clearly describe your AI system's features, purpose, and limitations. To implement this, here’s a practical step you can take. Take your most high-risk AI system and start outlining what its technical documentation might look like.
Human Oversight and Safety Measures
Next are Human Oversight and Safety Measures. Some AI systems are like powerful cars without a driver. And without proper oversight, these systems could make decisions with serious consequences.
The solution is to Implement human oversight, especially for high-risk AI systems. Provide intuitive interfaces for human operators and mechanisms for intervention when necessary.
Now, let’s put this into motion. Here’s something actionable you can start with. For each high-risk AI system, brainstorm how you could implement human oversight.
Penalties for Non-Compliance
Up next are Penalties for Non-Compliance. The penalties for non-compliance are a major concern for managers and leaders. And this matters because fines can reach up to 7% of global annual turnover or €35 million, whichever is higher. The way to tackle this is to understand the penalty structure to prioritise your compliance efforts.
The harshest penalties are for using prohibited AI practices or providing false information to authorities. Here’s a quick action you can take.

Next we have Transition Periods and Key Deadlines. The EU AI Act has a phased implementation, which can be tricky to navigate. There’s a danger in thinking we have all the time in the world to address this. But as anyone with experience knows, deadlines can easily sneak up on us.
Key dates to plan for include:
- Early 2025: when you need to ensure no banned AI practices are in use.
- Mid-2026: when additional governance standards come into effect.
- And 2027: when all high-risk systems must fully comply with the Act's requirements.
Now, let’s shift from theory to practice. Here’s an action you can work on quite easily. Create a timeline for your organisation and agree with the appropriate stakeholders, when will you aim to have your systems compliant by?
Governance Structure and Responsibilities at National Level
Next up is Governance Structure and Responsibilities at National Level. The EU is designating specific national authorities within each EU member state to oversee the implementation and enforcement of the EU AI Act.
These authorities will be responsible for ensuring that AI systems comply with the law. And failing to engage with these authorities properly could lead to compliance issues.
The solution is to understand the roles of Notifying Authorities (who assess AI systems before launch) and Market Surveillance Authorities (who monitor AI systems in use).
Now that you’ve got the concept, here’s how you can put it into action. Research who these authorities are in your country and assign a point of contact in your team for interactions with them.

Start with risk identification and planning, then move on to CE marking for high-risk systems and setting up incident reporting processes.
Here’s a step you can take to get started. Draft an outline of your implementation strategy. What are the key steps? And who in your organisation will be responsible for each?

It needs to break down specific tasks, deadlines, roles, and resources required to execute the strategy. We've covered a lot of ground, and there’s always the risk that all this information might not translate into effective action.
So the solution is to create a comprehensive action plan that includes:
- Risk assessment and categorisation of all your AI systems
- Specific compliance measures for each risk category
- An Implementation timeline
- Defined roles and responsibilities
- Training programs
- And Monitoring and reporting mechanisms

Meanwhile, their less responsible competitors showed tremendous innovation with the AI developments, but they got into all sorts of legal and financial trouble because of their complete disregard for effective AI Goveranance.

Understanding that the EU AI Act isn't just about rules - it's about leading in the new AI landscape.
